Hard truths before you pay for a CRM

Every point below is computed from the published terms of the CRMs we track, not from opinion. Each links to the evidence.

by the Fairly Compared editorial deskfacts checked how we verify

1. Most “best CRM” lists are written by people selling something

Of the top 39 Google results for the five highest-volume "best CRM" searches in the US, 25 come from companies that sell a CRM or sell other products to CRM buyers, and 6 from publishers (most of which, like us, earn referral fees). See every result →

2. The advertised price assumes you pay for a year up front

Of the plans in our data that publish both prices, 73 charge more for monthly billing: a median of 23% more per seat (range 4-111%). 7 vendors sell their core plan on annual terms only: Jungo, Salesforce Financial Services Cloud, Loxo, Bloomerang, Salesforce Nonprofit Cloud, Insightly, Salesforce Sales Cloud.

3. The cheapest plan is often not the one you need

For 11 of the general CRMs we track, the cheapest paid plan lacks something a small sales team usually needs (most often automation or email sync), so our cost comparisons use the next plan up:

CRMCheapest paid planPlan with pipeline + automation
Odoo CRMStandard: $31.10One App Free: $0
monday CRMBasic: $12Standard: $17
ActiveCampaignStarter: $15Plus + Pipelines: $88
folkStandard: $24Premium: $48
Capsule CRMStarter: $18Growth: $36

CloseSolo: $9Growth: $99
CopperBasic: $23Professional: $59
InsightlyPlus: $29Professional: $49
Salesforce Sales CloudStarter Suite: $25Pro Suite: $100

Per user per month (or per account where the vendor prices that way), annual billing where offered.

4. Setup fees, seat minimums and contracts

  • Jungo: One-time setup (Lite) ($249); One-time setup (Bundle) ($299); a separate Salesforce license
  • Keap: Required implementation package (shown at $500, list $1,500) ($500)
  • HubSpot: Required onboarding (Professional) ($1,500); Required onboarding (Enterprise) ($3,500)
  • monday CRM: minimum of 3 paid seats

5. AI is increasingly metered

11 vendors document AI usage in credits or similar units that differ by plan: Salesforce Financial Services Cloud, Loxo, Salesforce Nonprofit Cloud, monday CRM, Close, Attio, folk, Twenty, Odoo CRM, HubSpot, Salesforce Sales Cloud. Heavy AI use can mean buying more credits or upgrading.

6. Industry CRMs often hide the price

5 of the 18 industry-specific CRMs we track publish no price at all: Lofty, Shape, Neon CRM, JobNimbus, AccuLynx. You will only learn the cost in a sales call, which is also why they score lower on transparency.

7. Prices and plans change, often

  • 2026-10 Salesforce Nonprofit Cloud: Nonprofit pricing page now lists four editions (Core $70, Advanced $125, Sales Max $285, Service Max $285 per user/month billed annually) with Agentforce Flex Credits, Slack and Tableau Next bundled
  • 2026-09 Shape: Pricing page now shows tiers Core / Complete / Enterprise with no prices; a September 2026 third-party review (pricing verified July 2026) names tiers Professional / Engage / Enterprise and quotes $119 (annual) and $149 (monthly) per user, so tier naming and prices may have changed
  • 2026-09 Redtail CRM: Five Orion Denali AI features announced for the Growth plan (Review Prep, Workflow Builder, Smart Search, Redtail Assistant, Contact Import).
  • 2026-09 Salesforce Sales Cloud: On Sept 3, 2026 Salesforce launched Core ($195), Advanced ($395) and Max ($550) editions, replacing Enterprise, Unlimited and Agentforce 1 for Sales Cloud; each bundles Slack, Tableau Next, Premier Success Plan and Flex Credits. Existing legacy-edition customers keep current pricing; Agentforce 1 customers can move to Max at no added cost
  • 2026-09 Pipedrive: Nova AI meeting intelligence reached general availability on 2026-09-16 and is included in all plans at no additional cost
  • 2026-08-18 Close: Event Log launched on all plans (30-day history, Event Log API and webhooks).
  • 2026-08 Pipedrive: Pipedrive MCP Connector listed in Claude's official connector marketplace (announced 2026-08-18); Pipedrive MCP is included on all plans
  • 2026-07 Attio: Per-seat prices increased: Plus $29 to $35 and Pro $69 to $79 on annual billing; monthly billing now $44 / $99. Credit system (seat + workspace credits) covers Ask Attio, AI attributes and workflows

8. Not every CRM can hold health data

These general CRMs state they do not sign a HIPAA Business Associate Agreement: Freshsales, Capsule CRM, Copper, Pipedrive. If you handle patient data, see which vendors do.

9. You may not need a CRM yet

If one person handles a manageable number of customers, a spreadsheet or a free plan may be enough. Check the signs →
